INTERNSHIP WITH CJFE AUTUMN '10

POSITION TITLE: CJFE Gala Event Assistant

DESCRIPTION OF ORGANIZATION: CJFE is a non-profit, non-governmental organization based in Toronto that works to defend press freedom and freedom of expression in Canada and around the world. To that end, CJFE engages in various activities, including management of the International Freedom of Expression Exchange (IFEX) Clearing House, the Journalists in Distress Fund, the Canadian Journalists for Free Expression Gala, as well as special public events on World Press Freedom Day and Word on the Street.

LOCATION: Toronto, Ontario

REMUNERATION: This internship position will be paid a $3000 Honorarium.

DUTIES/JOB DESCRIPTION:
The CJFE Gala Assistant will report to the CJFE Manager, and will work with the CJFE Manager and the Event Coordinator to do the following:

  • Respond to email/telephone inquiries for ticket sales and other information about the event
  • Track ticket sales, send out invoices
  • Solicit information from sponsors including logos, ads, guest lists, meal requirements etc.
  • Coordinate mailings, couriers, materials purchases, travel & accommodations & itineraries for award winners and other special guests
  • Engage and coordinate volunteers
  • Carry out research and writing duties for the CJFE Gala Tribute Book, Award winner videos & website
  • Working with the Silent Auction committee, will assist with Silent Auction in soliciting items, tracking, creating displays and ensuring delivery etc.
  • Assist with website updates
  • Assist in event preparations for the Word on the Street, and any other events that occur in the fall
  • Hands-on assistance "day of" events (the CJFE Gala is on Thursday, November 25)
  • Carry out other administrative duties for CJFE as needed including meeting mintues, membership mailings, protest letters etc.
  • HOURS: The position will start on Tuesday, September 7, and is a 5-day per week, 14-week position, ending on Friday, December 10. There will be one additional half day of work, on September 26 for Word on the Street.

    REQUIREMENTS:

  • Fantastic organization skills and the ability to juggle various tasks
  • Excellent written and verbal communication skills
  • Works well independently
  • Excellent time-management
  • Detail-oriented
  • Computer literate (Word, Excel, Outlook Express)
  • Previous experience (work or voluntary) in event coordination
  • Fluency in English; ability to work in French or Spanish considered an asset
  • Interest in and awareness of current affairs and knowledge of free expression issues
